  • Promising what you can't guarantee. Write "we'll do our best to accommodate" rather than guaranteeing every dietary request, seat or parking space, and let the venue confirm specifics.
  • Setting the registration deadline on the venue's final-count date. Ask for replies a few days before the caterer's cutoff so you have time to follow up and move people off the waitlist.
